Pricing and procurement questions

What counts as an active IEP?

A student with an IEP in effect on the count date, July 1. Each student is counted once a year, whether they have one annual review or three amendments. Students who exit services, graduate or move out of district during the year do not change the count until the next renewal.

Is there a limit on users or seats?

No. Every plan includes unlimited special education teachers, general education contributors, related service providers (SLP, OT, PT, school psychologists) and building administrators. You pay for active IEPs, not for the people who work on them.

Do SIS or IEP system connectors cost extra?

No connector fees on District Core and above. District Core includes one connector (PowerSchool, Infinite Campus, Frontline, SEIS and others); Enterprise and Regional plans include unlimited connectors. Campus licenses can add one connector for $750 per year.

How does procurement work?

We invoice against a purchase order with net 45 terms. We hold cooperative purchasing contracts for districts that prefer to buy off an existing vehicle, provide sole-source letters when your policy requires one, and send a W-9 on request. Quotes are valid for 90 days to fit board calendars.

Do you sign state student privacy addenda?

Yes. Every plan includes the signed SDPC National Data Privacy Agreement plus your state exhibit (for example New York Education Law 2-d, Illinois SOPPA or California SOPIPA) at no cost. Our security team returns signed agreements within five business days.

Is data migration included?

Yes. Your implementation lead imports current IEPs, goal history and evaluation records from your existing system before go-live, and reconciles the student roster against your SIS. There is no separate migration fee on any plan.

What happens after the 14-day trial?

Your workspace stays intact. If you buy, we flip the workspace to a licensed plan and nothing is re-entered. If you do not, the workspace is locked and the de-identified records you uploaded are deleted 30 days later, with a deletion confirmation sent to your administrator.

Are there multi-year discounts?

Yes. Districts that prepay three fiscal years receive 3% off the annual rate and a rate lock for the full term. Cooperative agreements are priced on their own schedule.

What if our enrollment changes during the year?

Nothing happens mid-year. Counts are trued up at renewal only, using the July 1 figure. If your active IEP count grows during the year, you keep working without an invoice; if it falls, your next renewal reflects the lower number.

Can we use IDEA Part B or other federal funds?

IDEA Part B flow-through funds and ESSER successor funds are commonly used for IEP drafting and compliance tools because the purchase supports the provision of a free appropriate public education. Buyers confirm the allowable use with their business office and state education agency; we provide the documentation they ask for.

Start with one de-identified evaluation. Decide with your whole team.

Fourteen days, unlimited users, no card. Your implementation lead is on the first call if you want them there.
